We left off finishing the advanced configuration document for the Google Apps Migration tool for Lotus Notes (GAMLN).  Besides establishing security for the database, we move on to the actual site configuration.  A single site document is required before any user migration occurs.  You may have multiple site documents later, but a first one is necessary to even do testing.  Pick a name for the site that makes sense and walk with me through the rest of the General settings.
  • A timezone for the site is required.  This gets interesting if you have a centrally located server that handles users from all over as our customer does.  Your choice is the location of the server, the location of the company headquarters or where most of the staff is.
  • The site administrators are normally the Domino administrators handling the migration.
  • The system can read your Domino Directory for the mail server field and begin registering users assigned to that Domino server into Google.  We chose to do a batch and not use this option.  The default was off. If a user is not found in Google it skips that user during migration.
  • However, we did leave the next section enabled.  The migration tool is to do a check to make sure the user being migrated has already been established as an account in Google before migration begins in the GAMLN tool.
  • You can also provision user accounts in the Google domain if you enable the next section. In order to provision you must enable it to check accounts in the Google domain.
  • Establishing the migration start and cutoff times are important.  You want good communication and testing before you roll this out to an entire server.  We would always allow the users to continue migration even after the cutoff date.  That always make me laugh across systems.  As we would not take a user after a certain date?
  • The number of feeder databases and and maximum users per database are highly important to the performance of the tool balanced with the time it will take to move the users to the Google domain with the Google Apps Migration for Lotus Notes tool.  We covered some basic scenarios in earlier posts on how to configure the feeders.  Marie Scott chimed in with some excellent knowledge on this as well. The maximum feeder databases allowed are 10. The agent runs at 30 minute intervals, so the size of the mailfiles will matter greatly in order to get each one done in 30 minutes.

Google updated the Apps Migration for Lotus Notes tool to version 2.2.1 (GAMLN) in an announcement on their blog last week.  Some new features were also added of note:
Pre-migration Estimator: It is now possible to gather user statistics prior to migration for selected users.

Error Threshold Setting: In earlier versions of this tool, if any migration errors were encountered the system would keep the user at Active status until the error was resolved, manually flagged as complete, or the administrator moved the user to "Complete" status. It now allows the administrator to set a site level threshold for errors.

We left off the Google Apps Migration path from Lotus Notes for the client a while ago entering the Advanced tab information.  Let's quickly walk through some portions and descriptions of these choices.

  • The integrity checker at the top runs the agent to verify there is no save conflicts (and replication in a distributed setup).
  • we left the token refresh to 23 hours which is just below the Google time reset of 24 hours.  After reading their comment about possibly locking out accounts that request new tokens too often, we decided to leave it as far out as we can.
  • Humorously, we always strive to keep individual message sizes shrunk down, this forces the issue with a maximum size of 25MB per message, including attachments.  Any message over the Google max is not migrated.  You can reduce this size down to strip larger attachments and force users to place them in other places.  We found this works well to make users filter and use things like Quickr.
  • The length of Google labels frustrated users with tons of nested folders with long titles.  Google strips them down to the maximum of 40 characters no matter what.  So this is a UI issue in need of training.  You can fix this before migration by having users shrink and change folder name lengths.  But, that in itself will most likely never happen for everyone.
  • Additional mail forms is not an issue for this migration but can be for many.  If you have built or installed third party products that added extra mail forms to your user mailfiles, you can migrate them with specific criteria.  So the good news is some of the basic workflow can be moved that is inside the mailfile but not part of the standard Notes template.  The bad news is the lack of the total workflow that can be moved.
  • We did not need to mess or add custom site level settings at all.

As the bottom part says, we had no need to change any of the settings.  It would be nice if they hid those unless you clicked some action to prevent mistakes or accidental typing.

After looking at numerous phone cases for the HTC EVO, I finally decided I wanted both a cover and a holster to carry it around.  The large screen made it bulky no matter what.  An added case made it bigger.  So I did some searching and ran across the Innocase line from Seidio.  It has a snap together cover that leaves the camera, flash, speaker, volume controls and kickstand open.  It raises the back of the back of the phone just enough to protect the camera lens.  Then it snaps into the holster that is covered in a felt for the screen while allowing the clip part to cover the power button to make sure it doesn't get turned on or bumped.

So if you have the EVO and are looking for a case that doubles with a holster, the Seidio Innocase is my choice.

As the blogs light up with a LotusKnows blogging initiative, I wanted to remind you of the resources available for keeping up with the news.
  • If you do not use RSS feedreaders, I created a simple LotusKnows landing page for you in a year ago for LotusKnows and Lotusphere.  The data is being pulled from numerous searches brought together in widgets on the page.
  • If you prefer a newspaper format, the LotusKnows newspaper edition exists as well.  Twitter, blogs, feeds and more.  Did I mention there was a XPages newspaper as well already made?
  • I updated the full OPML file of Lotus blogs to include LotusKnows blog in the listing.  You import this directly into your feed reader of choice.  Hopefully that is Google Reader (my choice with the Feedly overlay) so you can easily share what great news you find.
  • Finding the information you want was never easier with the Google Search for bloggers, Lotus technical information and more.  I shared the Lotus Notes client widget yesterday ort you can always use the search box in the corner of my blog.

Once we worked our ways through ACL issues, database access and roles, we now enter the actual configuration of the central administration database for the Google Apps Migration for Lotus Notes, or GAMLN.  
  • In order for the global migration to kick off, the status must be enabled.  We decided to leave it disabled until we explored all the settings so we did not have any surprises.
  • The administration server is important as that is where directory registration and maintenance takes place.  As we discussed in an earlier part, we were dedicating a server for this migration task to make sure we did not affect server load as best we could.
  • Google, and myself, recommend you use the Internet Address field to create the user accounts in Google Apps.  Some sites that are larger may have another field they wish to use. But, it pulls this field from the directory in Domino, so make sure it is populated in each person document the way you want their account to be created.  A mistake here will mess up their account in GAMLN.
  • The Google Domain tab is quite simple asking for the new Google domain being utilized and the email address for the Google domain administrator.  You will also enter the password for the administrator account here.  I suggest clicking the verification button before moving on.

In part 9 we will move on to the Advanced tab of the database before saving the form and then enabling the global migration.  DO not forget to catch up to the series below.  I swear this is better than Lost.

In the middle of the Google Apps Migration for Lotus Notes (GAMLN) series, I thought you would also take interest in a web application Google has created to try and estimate the savings your company (or school) will save by switching to Google Apps under the name GoneGoogle.  The animated screen asks one simple question, your company size .  From there is has a large amount of assumptions built in while it works it's number magic.

Now one thing I must admit is the awesome way it allows you to share at the end.  From a PDF, spreadsheet or poster, all the data is there.  There is also a bunch of web content around it, even asking you to place your icon on the map when you migrate.  I think this would be a great implementation to spread the news for LotusKnows as well showing wins in Lotus and where they are located.  No names are used, so confidentiality is kept.

One downside is when I attempted to adjust some of the settings to run the tool again.  For some strange reason the tool would not allow me to change the unplanned downtime for Lotus Notes to zero.  We just do not have it between general uptime and clustering.  So if they offer 99.95 themselves, why cannot I enter 100%?

You do get an estimated cost savings dollar amount and hours saved.  You can edit average mailbox sizes, number of people on laptops, group document creation and more. The numbers did not mean much to me at the end, as migration costs and man hours are not included.  However, the idea of providing this type of experience makes smaller companies raise an eyebrow and investigate the solution.

Something to consider in marketing.

We talked about the HTC EVO on Episode 26 of TheSocialGeeks this week, but now having actually worked with the device, I am stunned and actually enjoying working with a phone.  The interface is slick.  The application choices immense and the quickness and response impressive.  Even with multiple applications open all the time.  The deal-maker for the day was when I received a quick message to load a specific app.  I did and was able to fully work with our Citrix environment, even launching the Notes 8 Standard client within the phone.

Forget the geek features like 8MB camera, 1.3 MB front facing camera for video chat, HDMI port, multi-app, kickstand, etc etc.  So far the phone is a winner and worth the change.  Oh, and Sprint named us a 4G city and I pick it up here and there as they deploy towers.  HTC has also promised free upgrades to Froyo (Android 2.2) for these phones.

Part 7 covers roles and ACL rights.  Google automatically assumes and enters a Global administrator setup and assigns it the [SiteAdmin] role.  Global administrators handle the administration database and overall management of all site documents.  Make sure you know who you list in this role.

Site administrators get configured each time you create a new site.  They are allowed to see all sites, but only edit their own plus related user profiles for that site.  In our circumstance, there will be no one outside of Domino admins touching this, so no decision had to be made of who gets additional rights.

The documentation also specifies that the administration database for GAMLN get an automatic ACL creation for -Default- set to Manager.  Not the best choice for any environment.  If you will allow users to work in the database and update their own profile during migration, it must be Author with no roles assigned.  We are not allowing users to do this during the Google Apps Migration and will go with the wonderful No Access choice for Lotus Notes.

The administration database assigns most of the roles for you as you place people in power.  So it makes it simple when you are using a select few people to manage the migration.  There is an owner right but that applies to the person being migrated.

As we have moved through the Google Apps Migration for Lotus Notes (GAMLN) tool, I have received excellent input form Marie Scott on their trials and knowledge gained as well.  Now that we have the basic architecture decided, the documentation suggests establishing the migration server as a trusted server in the mail server documents (shown below) and signing the templates from Google with a trusted id source such as the server id file.

Here was a key factor I gleaned from the documentation, mainly since we cluster mailfiles between two data centers for redundancy.  Each time a message is migrated it modifies the Last Modified date.  Doing this to large mailfiles can cause heavy network traffic according to the GAMLN documentation.  They suggest you disable replication for each mailfile as you configure that user for migration.

The last step today will be to create the actual administration database we discussed earlier.  Google provides a gmail.migration.ntf template with the Google Apps Migration for Lotus Notes tools.

The process of the Google Apps Migration for Lotus Notes (GAMLN) also has steps to be completed on the Google side, as well as Domino.  Previously we had walked through the Domino beginnings.  Inside of your Google Apps control panel, a simple point and click allowed us to enable the ability to provision the users through the API.

In a previous posting (links below) I talked about the basic architecture, but overlooked the changes needed to the Domino Agent Manger in order for GAMLN to process larger files.  Marie Scott did a good job and posting comments around setting they have used to date, which I recommend reading.  However, the guide suggests to modify the maximum concurrent agents allowed and increasing the maximum execution times.

Another interesting request was that your Domino server have at least two mail.box files enabled.  Hopefully, you all do and understand the benefits of such.  FInally, the conversion of mail from Notes Rich Text to HTML needs to be set on the Server Configuration document for each mail and migration server.

So we left off yesterday running through the admin database and moving into migration options.  One of the key parts of this is the feeder databases where all the Notes mail is converted.  You are allowed to process users one by one or have multiple threads running.  My first fear was that no numbers were given for load based on this conversion.
  •  How would this function on large mailfiles?
  • What if the user mailfile was already over the maximum allowed size on Google?
  • Do we waste time stripping down content from all the mailfiles before the migration?
  • What if they had DAOS enabled?  This is not replication, so how is that handled?
  • Can I grab local archives by moving them to the server and assigning them?

The list went and we soon discovered that in a complex Lotus environment, there is some huge hurdles.  In this smaller migration where users have single mailfiles that are not huge, the issue is not as bad.  Google does suggest placing the migration on a dedicated server for performance needs.  Once again, no numbers, just do it.  So to be safe we are firing up a VM and registering a server in their domain to grant access to start pulling data before moving ahead.

The admin database can be replicated out globally for large scale sites, but the feeder databases will be local to each install location.  I also figured that this dedicated extra server should be in proximity to the mail server being migrated up.  I wouldn't want it pulling hundreds of gigs of mail data across the pipe and then sending that same data again back to Google to build the new mailfile.

The Google Apps Migration for Lotus Notes surprisingly comes with a Domino database.  This was happily shocking and surprising as I imagined all sorts of command line stuff.  Now, there are partners that make many tools to migrate, but the customer wanted the built in provided tools, since they are free, of course.

The actual administration database is small, limited views and does the configuration.  Logs and stats are included in the database itself.  Users can be viewed by state (pending, active and complete).  Logs cover such things as mail conversions, migrations and registrations. Make sure you know the Google Apps admin password as it is required in the System Setup.

There was a setting I was curious about (I think Marie Scott has the answer) on maximum mail size allowed.  At first we were concerned it was the actual total mail file size itself and not an individual message.  We set the end date for the migration to indefinite as there is no guarantee of completion date and I am not sure why anyone would actually put a hard date in there and then also allow it to continue past end date.  Just don't set an end date.

User selection pulls from the Domino Directory via the familiar directory look-up interface.  We will talk about migration options next.

Yesterday I concentrated on some of the email migration portions that were of concern as we entered into the migration testing.  Calendaring does have a tool as well and is supposed to support all meetings, reminders, events, recurring and even privacy.  Calendaring will be later and separate.  Today we focus on personal moving contacts and groups

So to move a users personal address book and/or groups we had a couple options to make this happen.
  • Server side - the first thing we noticed is that the user must have synchronized all of their contacts into their mailfile.  Unfortunately, this has either never been done.  Due to it previously being manual, then in a policy that was never set, or worse yet it was done long ago and would totally screw them up if it was done now.  So the server side feature is only one, via an agent that runs, that should be considered if your environment has actively been synchronizing already.
    - The other portion is that users must enter their Google Apps passwords into the GAMLN system itself.  Not something we would have all the users do.  This whole idea of server based it borked it seems.
  • User driven with a Notes form - This form actually gets emailed to users.  So now we expect them to fill this out.  The good news is it pulls their local names.nsf information, no sync necessary and they feel more in control and are able to enter their password directly into the form to upload their contacts.  The user being prompted gives a good feeling but then we rely on users to actually perform this step.  A catch-22.
  • User driven with a web form - This only is needed if the user does not have Lotus Notes for email anymore.  So I am so confused.   It also tries to pull from their web mailfile.  Which means they had to sync before or have entered info now via the web only.  My guess is that this is made directly for iNotes.
    Something I did notice is that if the site forces SSL with a self-signed certificate then Google had issues connecting since it couldn't read the cert.  The only answer?  Remove the SSL for the migration of iNotes users.

All this above migrated content is not emailed in any way.  It is all direct upload via SSL to Google so the user must be connected to Google at the time.

Back in February 2010, I made the change to turn off the native commenting system inside of DominoBlog.  While it was doing a great job of catching like 9% of everything, it was still dropping hundreds if not thousands of spam comments into the database itself.  So I made a decision to investigate alternatives.

In my other blogs, I was already utilizing Disqus with great success.  I soon realized it also gave me a slew of other benefits that were easily implemented:
  • ability to comment registered (native, Facebook, Twitter, OpenID and more)
  • ability to allow video comments
  • ability to bring in tweets and pingbacks
  • ability to allow such things as video comments
  • ability to have users tweet their comments or share on Facebook brining more traffic back to the posting

You can subscribe to each comment section by email and the trackback URL is listed for each.  Sorting of the comments is allowed by newest, most liked and more.  This gives readers the ability to mark comments that are important, give answers or make good points.

So now I have a central management for all the blogs, no spam and a larger community built around it. You can get scripts, plug-ins for such things as Wordpress and other blog system to make implementaiton a breeze.  Now,  I am hoping for a migration tool to finish moving all past comments into Disqus as well.  They support Wordpress import, so I need to get all past DominoBlog comments intot that format and we am set.

This was one of the better technical discussions in the podcast series. Susan Bulloch, IBM Technical Enablement Engineer, talk in depth about her recently published article on Developerworks covering the new Message Recall feature in Notes and Domino 8. I managed to stump her a couple times with things of the top of our heads as we crawled through the new feature.


We have a couple answers to the stumps in the podcast. If you disable the user via policy from message recall then the action ability in the mailfile is hidden. The portion on personal veruses public groups is a lot longer answer that Susan will post or link to the reference. The fix for the Standard Notes 8 client is not pretty is my eyes. You be the judge.

In this podcast we learn all about the NewsGator plug-in I covered a couple days ago in a posting.  Todd, who is the Director of marketing,  said he would send some new screenshots of ther plug-in integration along and I will post here.  He also mentioned the ability to use this same plug-in in the standard Notes 8 client and how it compares to the built-in RSS feed reader.

We talked about the NewsGator Enterprise Server and how it interacts and he announced the agreement NewsGator reached with RSSBus and their RSSBus Feed Server that creates dynamic feeds from databases, spreadsheets and directories.

Part 2: As the Lotus community, we needed some straight information from Lotus without having to wade through tons of pages.  Scott Vrusho, Manager for Notes/Domino Maintenance Releases and Serviceability in Human Interaction & Collaboration at Lotus, steps up to the plate to answer these questions.

A special note: Scott contacted me this morning with 2 important updates.  One, the Domino 7 agent for the RNR services was taken offline on Friday after we talked and it is being replaced today.  If you downloaded the version 4 agent Thursday night or Fri morning last week, get the new one downloaded.  The second was an answer on how the Sametime server will handle invited meetings.  I cover that in the podcast.

While there is a glaring line that states that the number of seats accounted for just applications in Notes/Domino are not being counted in here, it is interesting they way they break the sizing down for who has Domino and who has Exchange. Looking at their statements and figures, Domino leads in larger enterprises and the two go head to head in swapping customers in migrations.

The survey's release comes amid the shipment of Microsoft's Exchange 2007 late last year and IBM's annual Lotusphere conference, which was held last week and focused on Notes/Domino 8, slated to ship mid-year, and new social networking collaboration tools.


The report Gartner put out costs a lovely $995 to read some collection of data I never understand where they actually derive it from.  But if you have a log in, it is over here.

Today made the official announcement of the move by IBM to take some of the .NET market with an open source alternative.
From Marketwire:
"An open alternative to Microsoft® .NET client software, Lotus Expeditor provides the flexibility that comes from service oriented architecture (SOA) and open standards-based software, giving all users a universal client experience and allowing WebSphere Portal, Lotus Forms and Lotus Sametime users to extend their current applications world beyond the desktop," said Ken Bisconti, vice president Lotus Software, IBM.


From Zdnet comes a little piece I liked on offline Sametime models:
Lotus Mobile Connect is software that gives people secure mobile access to Expeditor-based applications. It is designed to let people resume work they were doing with applications while offline, once they reconnect to a network. People who use IBM Lotus Sametime instant messaging, for example, can pick up where they left off without having to log back in.


It is set to be released this year according to the press releases, with no pricing announcement yet.  Pricing for something based on open source.  However taking away other market shares is always a bonus:
While companies that run Microsoft's database and client software will likely remain "Microsoft shops," Lotus Expeditor product manager Angus McIntyre said others may want to adopt IBM's software. He said it lets developers migrate from Visual Basic programming to Java, as well as tie into the upcoming Lotus Mobile Connect software.
